How to Use Dynamic Inventory-Based Vaccine Scheduling

Learn how to automatically manage vaccine bookings and waitlists for flu and COVID-19 vaccines based on your pharmacy's on-hand inventory! No more overbooking your schedule or manually calling patients when doses arrive.

2. Click the 'Gear' icon, then click "Settings"

3. Click "Vaccines & Tests"

4. Toggle on "Dynamic Inventory-Based Booking"

5. Click "Open" to view and edit inventory

6. Adjust inventory to match your pharmacy stock

7. Reserve doses to keep on hand for walk-ins

8. Click "Save" when finished

Tip: Now, when patients register for a vaccine, MedEssist will check your inventory and either allow patients to book a time immediately or place them on a waitlist.

9. Click "Lists" from the home page to update your inventory within the vaccine waitlist

10. Click "Vaccines List"

11. Click "Remaining doses"

12. Edit inventory

13. Click "Save & Send Links"

14. If you have patients currently on the waitlist, MedEssist will automatically select patients from the top and send booking links based on the inventory you entered

15. Enter the "MM/DD/YYYY" and press "Continue" to send booking links

16. Patients that registered with a landline or did not consent to text or email notification will be added to the "Call list", click the phone icon to access

17. View the call list here

18. Once you are ready to send booking links, return home and then Click "Lists".

19. Click "Vaccines List"

20. Click "Select"

21. Click "Select Based on Inventory"

22. MedEssist will show you the selected patients based on your inventory, press "X" to close

23. Click "Actions"

24. Click "Send Booking Links"

25. Enter the "MM/DD/YYYY" and press "Continue" to send links
